Every year, new regulations are piled upon old regulations, and your work gets a little bit more complicated. There are more requirements to meet, more forms to complete, and less time left to do the important work. Here at DataTeam we strive to implement technology to streamline tasks and free you up to be more productive. Our goal is to always be expanding and improving our services, our software and our ability to help you get your work done.

While I could mention many time-saving features, I’ll focus on just two. First, we have just released an upgrade to our Fund Accounting system that includes the ability to generate and email HTML versions of pay stubs to your employees. While we have been doing direct deposits to bank accounts for many years, the time has come to streamline the process of notifying employees. This electronic process means that your payroll department no longer has to print and physically distribute pay stubs. Your work and your forms cost will go down, and your productivity up!

Next, we have partnered with AllofE Solutions in Lawrence, KS, to provide a fully customizable Applicant Tracking system. As I attended trade shows across the USA, I heard many times how much work it was just to receive and process applications for employment. There are some online systems, but they do not let you ask your own questions. Under the guidance of a large district in Kansas, AllofE Solutions built a web-based system that allows you to specify the information you need to accept an application for employment. It allows you to import scanned reference letters and transcripts. A large amount of time is saved because the HR department no longer has to copy and send application packets to their hiring managers for review. For example, a college graduate completes the application online and submits references and transcripts, which the HR staff imports into the online application. Then, instead of making copies to send out to the principals for review, the principals can simply log on and read all of the application materials. In addition to saving time, it’s much easier to provide proper security for confidential information in an online system. Once you’ve hired the applicant, the key information can be imported in our HR system to eliminate yet another clerical step. If you have numerous positions to fill, you can see how Applicant Tracking can save you time and improve your hiring process.

In addition to these examples of improved functionality, we’ve added numerous import and export capabilities to our systems so they play well with others. We are also working on several new products and features that we’ll announce in 2006! So please stay tuned. And of course, if you need new tools to help you do your job better, please let me know.
